Introduction to PINS

PINS is a comprehensive platform for managing Student Visas and Passes at Universiti Putra Malaysia (UPM). It is a web-based system with a corresponding mobile application to enable fast and convenient data recording and storage. The primary users of this system are international students and staff. It facilitates data entry, document/information recording, and online report generation.

The main objective of developing the Visa and Pass Management System (Putra International System – PINS) is to provide a detailed information-based system that enables international students/staff to submit applications, update personal data, monitor application status, and ultimately generate reports required by University Management. To achieve this objective, the system must incorporate the following features:

  1. Students/staff can submit applications online with well-organized, systematic, and accurate records.
  2. Easy search, access, and sharing of information and data through a user-friendly system interface.
  3. Capability to generate detailed reports for immediate management use.

 

Benefits of the System Development

  1. The system will support the management and administration of the International Centre more efficiently by consolidating all data and information in digital form.
  2. Facilitate a more systematic monitoring process for student applications.
  3. Enable faster processing of pass and visa-related applications for international students/staff, while reducing paper usage and optimizing the paperless concept.
  4. Simplify data search, access, and information analysis for efficient reporting to meet management requirements.

 

System Scope

The scope of the PINS system covers the entire Student/Employment Pass Application Process through to completion, including applications for dependents of students/staff.

The system involves several entities such as the School of Graduate Studies, the Division of Admission and Academic Administration, the Registrar’s Office, and the University Health Centre for verification of uploaded documents. Subsequently, student/staff applications will be processed and verified by iPUTRA as the system administrator.
