6 December 2024, Genting Highland - The Infocomm Development Center (iDEC) Direction Review and Strategic Planning Workshop was held on 6 to 8 December 2024 at the Swiss-Garden Hotel and Residence Genting Highland. The workshop, which was attended by a total of 34 iDEC officers, aimed to evaluate the overall achievement of iDEC's Key Performance Indicators (KPI) in the UPM Strategic Plan 2021-2025, the UPM Vice Chancellor's Narrative 2023 and the UPM Digitalization Plan 2021-2025. A workshop was also held to identify the effectiveness of the strategy as well as changes or improvements needed to develop UPM's Digital Transformation Plan. In addition, the revision and improvement of the ISO 9001 Quality Management System (QMS) and the ISO 27001 Information Security Management System (ISMS) through Quality Objectives and Level Functional Plans were held.
The first session was held with the presentation of an ICT gap analysis report for all digitization projects contained in the UPM Digitization Plan 2021-2025 as well as a SWOT analysis of each section. Several issues and challenges as well as suggestions for improvement are listed as a result of the findings through the digital aspirations study that has been distributed to all PTJs at UPM.
The session continued with a presentation on the Project Management Office (PMO) where the rationale for establishing the PMO is to act as a control center that manages, monitors, and ensures strategic coordination between projects in the organization. The purpose of establishing a PMO also aims to reduce the probability of project failure through closer monitoring and increased capability in change management.
The second day continued with the second session which was a discussion to produce a program for the Digital Transformation Plan based on the UPM ICT strategic framework that had been developed. Several programs have been identified and planned according to 5 main cores which are:
The program also includes activities related to UPM's food security.
Review and refinement of the iDEC Quality Objectives was held in the 3rd session which was the last day of the workshop. Agreement has been obtained where iDEC will use the latest UPM ICT key performance indicators (KPIs) and the client charter is refined in line with UPM ICT KPIs. There are no changes for functional and level plans. The results of this refinement will be presented in the iDEC Quality Committee Meeting for confirmation before implementation for the year 2025.
This workshop session has further strengthened the ties of cooperation among iDEC Management and senior officers and produced a draft development plan for digital transformation as well as the latest quality objectives.
