29 October 2024, Serdang – The Gmail Genius Course: Improve Work Performance with Gmail & Google Workspace was held successfully at iDEC Alpha, Universiti Putra Malaysia (UPM), and was targeted at the staff of the School of Graduate Studies (SPS) to improve efficiency in task management using the ecosystem Google Workspace. This training was delivered by Ts. Saiful Ramadzan Hairani from the Smart Campus and Digitization Division, iDEC, with an interactive approach and practical exercises to ensure participants really understand the applications learned.
This course focuses on email management using Gmail labels, filters, and templates to keep the inbox organized, while the Smart Compose and Smart Reply functions help save time by offering automatic text suggestions for quick replies. Participants were also exposed to the use of Google Calendar for scheduling meetings, managing automatic reminders, and setting recurring events, thus avoiding overlapping schedules. In addition, this course also focuses on how Google Drive facilitates the storage and sharing of files in cloud storage with easy access on multiple devices, while ensuring data security with access control and two-step authentication (2FA). Through Google Docs, Sheets, and Slides, participants learn how to work together in real time, reduce the need to send multiple versions of files via email, and use Google Meet as an effective online meeting platform. The course also emphasizes workflow optimization, such as coordination features between Google applications and integration with Google Tasks and Google Keep for task management and daily notes. Participants provided positive feedback, stating that these skills are highly relevant in helping them manage workloads more productively, especially in hybrid environments and remote work. The organizers hope that courses like this can continue to strengthen the digital work culture among staff and support UPM's digital transformation initiative to create a more efficient and innovative campus environment.
